What Your Client Sees When Approving

Your client approves Google posts from one branded email with no login: approve, edit and approve, ask for changes, or pause Autopilot in one tap.

Your client approves Google Business Profile posts from an email, on a page with your logo, name and colours. There is no account, no password and no app. One tap approves a post, and every answer shows on the page straight away.

This guide walks through exactly what they see, so you can describe it to a new client with confidence.

The approval email

  • One email per location, with up to 25 posts waiting. Posts sent for approval within the same hour arrive together
  • Each post shows its text, photo, time and button as they will appear on Google
  • Written for you marks Autopilot posts, and Drafted with an AI assistant marks posts an assistant prepared
  • Your logo, name and colours lead the email and the page. Links use your own domain once one is primary
  • Replies to the email reach you

On the approval page

Something Is WrongSits under each fact in Facts in This Post. The client says what is right and clicks Send Correction
Worth knowing

Approving a post does not confirm its facts. If one is wrong, the page points the client to Edit and Approve or Request Changes, and to Something Is Wrong so future posts get it right.

What happens next

  • Each answer shows on the page at once
  • Opening the link changes nothing. Only a button does, so mail scanners never approve a post
  • A double tap counts once
  • A post written by AI that nobody has edited is rewritten from the comment straight away and comes back for approval
  • A post changed since the email went out is marked Updated since this email was sent, and the page shows the current version

Staying in control

  • Pause Autopilot in the email stops new drafts for that location. Posts already approved still go out
  • Stop These Emails takes that address off that location's list
  • With the Monthly summary of live posts on, the notice addresses get last month's live posts on the 1st, with Stop Monthly Summaries at the bottom

Try it yourself

Send Me a Sample on the Approvals and Notices tab under Posts -> Settings sends you the approval email exactly as your client gets it, marked Sample. Nothing is posted. On Business -> Publishing, Send Me a Sample Approval Email does the same.
