Run Google Posts for Every Client

One page for Google posts across every client: approvals in bulk, what needs attention, your playbook of defaults, client emails and many locations at once.

Feature overview: Google Business Profile Posts

Business -> Publishing is your control room for Google Business Profile posts across every customer. Approve in bulk, fix what needs attention, and set the defaults every location starts from. Only the account owner sees it.

The page has three tabs: Approvals, Needs Attention and Playbook.

Approvals

  • Every waiting post of every customer, oldest request first, with who wrote it under Written By
  • Filters: Waiting, Changes Requested and Expired. Search by customer or location
  • Tick posts and click Approve Selected. Select Every Post on This Page ticks the page
  • Request Changes on a row sends it back with a comment
  • Send a Reminder Now emails the approvers again
  • Opening a row switches to that customer and location first

Needs Attention

  • One list across every customer: posts that did not go out, AI drafts that need a check, Autopilot paused or stopped, broken connections, used limits, approval emails waiting for a sender and posts on hold
  • Filters: All, Posts, Connections, Limits, Autopilot and From Customers
  • Each row says what happened, who can fix it and what to do
  • Problems only you can fix stay here and are never emailed to the client

Playbook

One playbook sets the defaults for every customer. Every location uses it until it sets its own, and a change reaches every location that has not. Customers see your values as Set by followed by your agency name. The playbook's Name is for your team only.

  • Voice and Instructions: the voice controls and free-text instructions for every post
  • Default Settings: Schedule (How often, Day, Time), Posting days and hours, Default post time and Ask for approval this many days ahead
  • Kinds of post Autopilot writes and Photos
  • Photo location, with Customers can turn this off
  • Default time zone: new locations start with it, and your daily summary arrives at 08:00 in it
  • Use Our Default returns a setting to the platform default. Save Playbook applies your changes

Emails to Your Customers

  • Approval reminders: one reminder when a post still waits about 24 hours before its time. On by default
  • Monthly summary of live posts: on the 1st of each month, each location's notice addresses get the posts that went live the month before, under your brand. Months with no live post send nothing
  • Send Me a Sample Summary previews the monthly summary
  • Send Me a Sample Approval Email, on the same page, shows you the approval email your clients get

Turn on many locations at once

  • On a new account, Turn On Publishing. Later, the line under the list counts the locations with publishing off on a plan that includes it: click Review and Turn On
  • Pick locations across customers, confirm each time zone (prefilled from the business or your default) and add one approver per customer if you like
  • It takes up to a minute. Any location that cannot be turned on appears under Needs Attention
  • Nothing is posted until a post is written and approved

Your daily summary

  • One email across all customers at about 08:00 in your default time zone, on days with something to report
  • It covers posts waiting for approval, Approval Emails Not Sent, changes requested, posts that could not publish, what needs attention, posts on hold and posts that expired
