What triggers a request, and what never does
The integration listens for bookings and cancellations and times every request from the scheduled end of the meeting. Nobody is asked for a review before the meeting has happened.

Canceled bookings never ask
A cancellation in Calendly cancels the pending request. If the meeting did not happen, the client is not asked to review it.

Invitee details become contacts
Name and email come from the booking. The phone number is read from the SMS reminder number or a phone booking question, so requests can go out by SMS, email, or both.
Booking log and counters
Every booking received, skipped, cancelled, or sent is listed with its reason, alongside totals for bookings received and requests sent.
Weekly clients are not asked every week
Coaches, therapists, and tutors see the same people on a schedule. Each booking is only ever asked once, and the campaign's own duplicate rule decides how soon the same client can be asked again.
What you need before connecting
EmbedMyReviews connects to Calendly through a Personal Access Token, with no marketplace app to install. The setup wizard validates the token before anything is saved.
- A Calendly Standard, Teams, or Enterprise plan. Calendly webhooks are only available on these plans, so the free plan cannot deliver booking events.
- A Personal Access Token created under Integrations, API and webhooks in Calendly. To watch bookings across the whole organization, the token must belong to an admin or owner.
- A review campaign with SMS or email configured through your own provider.
Only my calendar, or the whole organization
The scope is chosen during setup. Your own calendar works with any user's token. Organization-wide coverage picks up every member's bookings and needs an admin or owner token, which the wizard checks before saving.
Where the phone number comes from
Calendly bookings do not always include a phone number. The integration reads it from the SMS reminder number when the invitee opted in, or from a phone-type booking question. Without either, the request goes out by email.

How does EmbedMyReviews connect to Calendly?
Through a Personal Access Token that you create in Calendly under Integrations, API and webhooks. There is no marketplace app to install or approve. The token is validated during setup, stored encrypted, and can be revoked from Calendly at any time. The webhook subscription is created on your account for you on the final step.
Which Calendly plan do I need?
Calendly only delivers webhooks on its Standard, Teams, and Enterprise plans, so the free plan cannot send booking events to EmbedMyReviews. To cover bookings across your whole organization rather than just your own calendar, the token also needs to belong to an organization admin or owner.
When is the request sent?
You choose during setup: immediately, a fixed delay from 15 minutes up to 24 hours after the meeting's scheduled end time, or the next morning at a set time in your timezone. The delay is measured from the end of the meeting, not from when the booking was made, so nobody is asked before the meeting has taken place.
What happens if a client cancels?
The pending request is cancelled. Calendly sends a cancellation event, EmbedMyReviews matches it to the booking, and nothing is sent. Calendly does not report whether the invitee actually attended, so a meeting that is still on the calendar at its end time is treated as having taken place. If a client does not turn up, canceling the booking in Calendly before the send stops the request.
Can I limit it to certain event types?
Not at the moment. The integration watches every booking within the scope you choose, either your own calendar or your whole organization, and each one is timed from its meeting end. If certain meetings should never trigger a request, the practical route is to book them under a Calendly user that is not connected and keep the scope set to your own calendar.
Will a weekly client be asked after every session?
No. Each booking is asked at most once, and the review campaign has its own rule for ignoring duplicate requests for a number of days. Set that window to 90 days and a client you see every week is asked after their first session, then not again until the window has passed. Unsubscribed contacts are never sent at all.
